Start with numbers and times
List how many guests are travelling, where they are coming from and when the event starts. Work back from the start time to set pickup times, and allow extra for peak traffic and for people who are always late.
Pick the right vehicles
- A Mercedes Sprinter takes up to 12 passengers with bulk luggage.
- An Executive Van takes up to 7 passengers with captain seats facing a table.
- A Luxury Sedan or SUV suits VIPs, speakers and executives.
- The Stretch Limousine suits red carpet arrivals and awards nights.
Run shuttles on a loop
For a venue with a hotel nearby, a loop of one or two vehicles between the hotel and the venue keeps guests moving. Agree where each pickup point is and how often the vehicles run.
Brief the drivers
Send the schedule, the venue entrances, the drop-off and pickup points and a contact on the day. A short briefing means the drivers know where to wait and who to ask.
Plan the end of the night
Departures are as important as arrivals. Agree the time the vehicles should be back at the venue, and whether late-night returns are needed.
